Retrying a rejected Gift Aid submission

Retrying a Gift Aid claim submission that was at first successful and then later rejected requires extreme care. You need to manually modify Salesforce data that is typically handled through automated actions.

Always proceed with extreme caution and double-check all actions before taking them when rolling back a Gift Aid claim submission.

To retry a rejected submission:

  1. Identify the Gift Aid payment schedule that generated the rejected submission.
  2. Contact FinDock Support and report the rejected submission. Include details about the reasons from HMRC and the Ids of the impacted org and Git Aid payment schedule.
  3. Create a report of all Gift Aid installments linked to the impacted Gift Aid payment schedule.
  4. Confirm that the report of rejected Gift Aid installments matches the total records in the original submission. Clarify and correct any discrepancies.
  5. For each impacted Gift Aid installment:
    1. Move the (newest) linked Payment record to the Recycle Bin. If the Gift Aid claim was a reversal, you need to remove the negative payment and not the original, older positive payment.
    2. For installments with status Collected, check that the Amount Open value is equal to Amount. If not, manually change Amount Open to equal Amount.
    3. For installments with status Collected, change it to Pending.
    4. For installments with status Reversed, check that the Amount Open value is zero. If not, manually change it to zero.
    5. For installment with status Reversed, change it to Pending reversal.
  6. Cross check all changes to ensure nothing was missed or incorrectly modified.
  7. Correct any other data as indicated by HMRC, such as details on the Gift Aid target used by the payment schedule.
  8. Confirm all feedback from HMRC about the rejected submission has been properly addressed.
  9. Go back to the original Gift Aid payment schedule and change the status to Generated.
  10. Click Start Processing to re-submit the Gift Aid claim.
